There are many ways to search for documents in Sophora Web. You can type text in the search box. To quickly narrow your search by document type, people, date, and more, use filter chips.
Search and filter your documents
To narrow the list of files in Sophora, you can use conventional search and filter chips.
To search:
- In Sophora Web, in the navigation pane, click or tap Search
.
- To search, type a word or phrase in the search box.
- If you select a value from one of the filter chips, your list of documents narrows by that selection.
Use filters
To narrow the list of documents in Sophora, you can use standard and property filter chips in the Search view. Standard filters refer to system properties that exist in every Sophora document, like "type" or "last modifled". Property filters refer to properties that are custom and usually vary based on the document type, such as "alt text" in image documents and "teaser" in article documents.
The following standard filters are available:
- Type: The type of the document, including "Image", "Article", "Audio" or "Video"
- Status: The publication state of the document
- Folder: The location of the document
- Edited: The last modification date of the document
- Edited by: The name of the last user who modified the document
- Special: Custom special filters managed by your admins
The following types of property filters are available:
- Text: Type text and combine with an operator. Operators: Contains, Does not contain, Is, Is not, Is empty, Is not empty
- Number: Enter a number and combine with an operator. Operators: Is equal to, Is not equal to, Greater than, Less than, Between, Is empty, Is not empty
- Boolean: Choose one of the two options: Is checked, Is not checked
- Date: Select a date and combine with an operator. Operators: Is, Since, Until, Is Between
- Select value: Select a value and combine with an operator. Operators: Is, Is not, Is empty, Is not empty
- Taxo: Select or enter tags and combine with an operator. Operators: Contains, Does not contain, Is, Is not, Is empty, Is not empty.
To activate a filter:
- In Sophora Web, in the navigation pane on the left, click or tap Search
.
To deactivate a filter:
- In Sophora Web, in the navigation pane on the left, click or tap Search
.
To deactivate all filters:
- In the Search view, at the end of the filter chips, click or tap Clear filters.
To add a property filter chip:
- In Sophora Web, in the navigation pane on the left, click or tap Search
.
- In the Type filter chip, select the document types.
- Click or tap the filter icon in the search box.
- Choose one or more properties from the dialog.
To remove a property filter chip:
- In the Search view, on the right side of a deactivated property filter chip, click or tap Remove (x).
or:
- In the Search view, click or tap the filter icon in the search box.
- Deselect the property filters you want to remove.
Use List, Grid and Table views
To switch between views:
- In Sophora Web, in the navigation pane, click or tap Search
.
- Select the List view, the Grid view or the Table view.
The List view is best for a simple user experience and small-screen devices. The List view is the default.
The Grid view displays the search result in tiles. The Grid view is optimized for visual content.
Use the Table view
To add columns to the Table view:
- Next to the table, click or tap the Columns icon.
- Select the propertys you want to add to the table. You can search for properties. Visible properties are listed at the top.
To remove columns from Table view:
- Next to the table, on the right, click or tap the Columns icon.
- Visible propertys are listed at the top. Deselect the propertys you want to remove.
To set the Table view columns to default:
- Next to the table, on the right, click or tap the context menu (three dots icon).
- Select Default View.
To reorder the columns in the Table view:
- Drag the columns to the left or right.
To sort the search results by columns in the Table view:
- Click or tap the column header of the column you want to sort by.
