Document actions in Sophora Web

Learn how to save, publish, de-publish, reset, preview, offer and clone documents in Sophora Web.

Save a document

To save a document that you are working on:

  1. In Sophora Web, open a document.
  2. Click or tap the save icon in the document action bar or use the shortcut [CTRL+S].

Publish a document

To publish a document that is working or ready:

  1. In Sophora Web, open a document.
  2. Click or tap the ON icon in the document action bar.

If unpublished content (that is, documents or nodes) is attached to the current document, click ot tap the Publish button will cause the Publish attached components dialog to appear. The dialog displays the unpublished content hierarchy as a collapsible tree. Content with multiple connections is displayed only once.

The system selects all other content automatically. You can clear the selection by using the checkbox. If cleared, content on a deeper connection level is cleared automatically as well.

Take a document offline

To take a document offline:

  1. In Sophora Web, open a document.
  2. Click or tap the OFF icon in the document action bar.

Reset a document

To reset a document that you are working on to the last version saved in the server:

  • Click or tap the reset icon in the document action bar.

Preview a document

To open a preview:

  1. In Sophora Web, open a document.
  2. Click or tap the globe icon in the doument's action bar. If multiple previews are available, select one of them in the menu next to the globe icon. The preview opens in a new browser tab.

Propose a document

Proposals are used in editorial workflows. Proposals are organized in sections, which are similar to folders. You can place a document in the appropriate section. All users who have access to the specified task section can then find your document. The other editors can integrate the proposed document into their pages as a component.

To propose a document:

  1. In Sophora Web, open a document.
  2. Click or tap the inbox icon in the document action bar.
  3. In the dialog with the possible sections, select the appropriate section.
  4. Click or tap OK.

Clone a document

A clone is a copy of a document, including all components. Clone the document if you don't want to start work on your new document from scratch.

To clone a document:

  1. In Sophora Web, open a document.
  2. Click or tap the clone icon in the document action bar.
  3. The cloned document opens in a separate browser tab. The clone has the same Sophora ID stem with a sequential number at the end.

Move a document

To move a document to a different folder ("structure node"):

  1. In Sophora Web, open a document.
  2. Click or tap the move icon in the document's action bar.
  3. In the folder pane, select the target folder.
  4. Click or tap Select.

Delete a document

To delete a document:

  1. In Sophora Web, open a document.
  2. Click or tap the delete icon in the document action bar.
  3. Optional: If the document is still referenced by other documents, a dialog appears and asks you to first remove these references. You can still delete the document, but this requires the global permission to delete referenced documents.

Restore a document

You can only restore deleted documents. Because deleted documents don't appear in Sophora Web search results, this action is primarily intended to reverse accidental deletions.

To restore a deleted document:

  • In Sophora Web, open a document.
  • Click or tap the restore icon in the document action bar.

Change the ID stem of a document

To change the ID stem:

  1. In Sophora Web, open a document.
  2. Click or tap the change ID stem icon in the document action bar.
  3. Enter an ID stem.
  4. Click or tap OK.
