Introduction
The search tab is the default view on your start page after logging in. The search input field allows you to perform a full text search.
Simple Search
To search:
- If you are not in the search view, click on in the top navigation.
- Type one or more terms into the input field Search.
- The search starts immediately.
- You can open a document by clicking on it in the search results.
Cards
Each document in the search results is represented by a card. The first row of each card shows system meta information:
- State of the document (symbol).
- Document type.
- Sophora ID.
- Date of the last time the document was modified.
- Name of the user who edited the document last.
- Location of the document.
The other rows of each document card show content from the document. Which content is being shown, depends on the configuration of each document type. Typically, it's a thumbnail image, a title and a short text.
Switching From List View To Card Mode
To switch between the gallery mode and the list mode:
- Click on the switch buttons at the top right of the search results.
Using Search Filters
You can filter the search results. To show filter options click on the chevron symbol on the right of the search input field.
Finding Documents Edited By You
To only find documents you've created or edited:
- Click on the user symbol on the left of the filter bar.
Finding Documents Of A Specific Type
To only find documents of a specific type:
- Click on the name of the document type in the filter bar.
Finding Documents In A Specific Folder
To only find documents in specific folders and all its subfolders:
- Click on the folder symbol in the filter bar. A folder view opens.
- Navigate to the folder you want to pick.
- Click Select. The folder view closes.
The name of the folder appears in a chip under the filter bar. You can remove the filter by clicking the X symbol.
Using Special Filters
To apply special filters that have been configured in your Sophora installation:
- Click on the filter symbol in the filter bar. A menu opens.
- Select the appropriate filter from the menu.
Finding Documents From A Specific Time
To apply an existing time filter:
- Click on the calendar symbol in the filter bar. A menu opens.
- Select one of the options from the menu.
To apply a custom date range filter:
- Click on the calendar symbol in the filter bar. A menu opens.
- Select Pick time frame from the menu. A calendar opens.
- Pick one or two days.
- Click OK.
The time filter appears in a chip in the search field. You can edit the filter by clicking on it. You can remove the filter by clicking the X symbol.
Shortcuts
To apply a time filter via shortcut:
Type one of the following commands directly into the search field:
- number + h: results from the last hours, for example
3h
- last 3 hours. - number + d: results from the last days, for example.
3d
- last 3 days - number + w: results from the last weeks, for example
3w
- last 3 weeks - number + m: results from the last months, for example
3m
- last 3 months - number + y: results from the last years, for example
3y
- last 3 years
The time filter appears in a chip in the search field. You can edit the filter by clicking on it. You can remove the filter by clicking the X symbol.
Finding Documents From A Specific User
To only find documents edited or created by a specific user:
Type the following command directly into the search field:
- @ + username, for example @joanna.
The user filter appears in a chip in the search field. You can remove the filter by clicking the X symbol.
