Learn how to manage versions.

Understanding document versioning in Sophora Web 

Sophora automatically creates a version of a document when one of the following actions are performed on a document: 

  • Publish
  • Set Offline
  • Delete
  • Release 

You can also manually create a snapshot version of the document, eg. when you have made a lot of relevant changes to the document and want to “freeze” the working state of it. 

Manually create a version 

To manually create a snapshot of a document that you are working on: 

  1. Open a document. 
  2. In the action toolbar, click the Version symbol.

Version History view 

To open the Version History view:  Open a document. At the top right, click the Archive symbol. The Version History opens in a side panel to the right of the document editor. 

You can filter the list of versions by date, author, and type. You can view, restore and clone each version of the document. 

To close the Version History view, click X on the top right.

View an earlier version

To view an earlier version of a document: 

  1. Open a document. 
  2. At the top right, click the Archive symbol. 
  3. In the Version History (side panel), choose an earlier version by clicking on the Eye.

Return to the current state of the document 

To return from a version view to the current state of the document: 

  1. In the editor, click Version Display
  2. Select Back to current state.

Create a new document from an earlier version 

To create a new document from an earlier version of a document: 

  1. Open a document. 
  2. At the top right, click the Archive symbol. 
  3. In the Version History (side panel), open the context menu (three dots) of the version you want to restore and select Clone as new document. Alternatively click the Clone icon in the standard document toolbar of the version. 
  4. In the confirmation dialog, click Clone version

Restore an earlier version

To restore an earlier version of a document: 

  1. Open a document. 
  2. At the top right, click the Archive symbol. 
  3. In the Version History (side panel), open the context menu (three dots) of the version you want to restore and select Restore version. Alternatively click the Restore icon in the standard  document toolbar of the version. 
  4. In the confirmation dialog, click Restore version.
